HOW TO SEND A FAX (USER)

Purpose
You can send a fax from your e-mail account once IT has set up account up for this function.

SEQUENCE OF STEPS
1.Open E-Mail
2. Prepare Message and Attachments
3. Format “To” address in brackets [ ]
4. Send
5. Example

Step-By-Step Details

 

1. Prepare your fax
    a. Enter a message in the body of the e-Mail
    b. Attach any documents if desired
2. In the “To..” or “Cc…” box of the message enter the address of the person in the following format
    a. In brackets [FAX: ]
       i. Name of the person (appears on the title page of the Fax)
       ii. @
       iii. The Fax Phone number
     b. The Fax Phone Number
       i. On Campus: 4 digit ( 1234)
       ii. Local number: the number (6541234)
       iii. Long Distance: 1+the number (18026541234)
       iv. International: 011+the number (011…….)
       v. NOTE: * prefix for off campus not needed
    c. If multiple fax address then separate with a semicolon
       i. [FAX:Jane Doe@5551212];[FAX:John Smith@15205551000]
3. Hit “Send”
4. Confirmation Message

 

You will receive a confirmation message in your Inbox from RightFax.

It may take a few minutes just as a manual Fax does.

 

If you don’t receive a confirmation message, it may have an error. The system will try send 5 times (at about 5 minute intervals) so the error message may not come until 30 minutes later.

 

If you don’t receive a message, you may have some messages blocked. Select “Junk” in Outlook, and “Add” Fax @smcvt.edu”.

Note that Outlook changes the look of the address in the To… box from having the square brackets and fax to what you see above.
